Expense Office Privacy Policy

Information used by the app

Expense Office can store an employee name, company name, company address, project names and details, expense categories, amounts, bill descriptions, dates, notes, receipt images or PDFs, project status, recycle-bin records, and app settings. This information may be personal, commercial, employment-related, or financial.

The app uses these records only to organise project expenses, display bills, maintain receipt evidence, create Excel reports, prepare backups and exports, restore data, and provide the other features you choose to use.

Local processing and private storage

The canonical copy of app records is stored in Android private app storage. Expense Office does not send those records to AMK, connect a Google account, use the Google Drive API, synchronise in the background, or upload data to a developer server.

Local data relies on Android’s app sandbox and your device’s protections. Expense Office does not claim that ordinary project records, reports, backups, or attachments receive separate application-level encryption. Use a secure screen lock and do not give untrusted people access to an unlocked device.

Receipts, camera, and file selection

You can attach receipt photographs, existing images, or PDF files. Camera capture opens the device’s camera application, while gallery and document selection use Android’s system pickers and temporary content access.

Expense Office does not request a camera permission or broad storage permission. A selected or captured attachment is copied into the project data managed by the app. The original file may remain in its original location and must be managed separately.

Excel reports and local backup files

The app automatically refreshes one Excel workbook and one latest backup ZIP for each project after relevant changes. These files can contain project details, bills, amounts, and references to receipt evidence. A complete project export can additionally include the project data and attached image or PDF files.

Review reports and backup files before sharing them. Expense Office is a record-organising tool and does not verify that an amount, category, receipt, report, or tax treatment is accurate or accepted by an employer, client, accountant, auditor, or authority.

User-selected phone folder

You can choose an accessible phone folder through Android’s system folder picker. Expense Office then maintains a live visible project copy in that selected location, which can include project data, Excel workbooks, backup ZIP files, images, and PDFs.

Files in the selected folder are outside the app’s private storage. Other apps, storage providers, connected computers, or people with access to the device may be able to read or copy them, depending on the device and provider. Stop using the folder or delete those files separately when you no longer want them there.

Send to Drive and other sharing

Expense Office does not connect directly to Google Drive. When you choose Send to Drive or another share action, the app prepares a timestamped project ZIP and opens Android’s share sheet. You select Google Drive or another receiving app or service.

The destination receives the file only because you initiated the action. It handles the copy under its own terms and privacy practices. Returning from Android’s share screen does not prove that the receiving app completed an upload, so check the destination before deleting important local records.

Collection, advertising, and tracking

Expense Office contains no account creation, advertising, analytics, behavioral tracking, developer server, Google identity, Drive API, or other network SDK. The app itself has no Internet permission and AMK does not collect, sell, or share the project information processed by the app.

A destination app that you deliberately choose for export, a browser opened for the optional donation page, or a document provider used through Android operates separately and may process information under its own privacy policy.

Retention and deletion

Private app data remains on the device until you delete it, clear app storage, or uninstall Expense Office. Deleted bills and projects can remain in their in-app recycle bins until restored or permanently deleted. Permanent deletion and Delete All Data require confirmation.

Project deletion can preserve a visible phone-folder copy, prepare a share copy, or do both. Files already written to a selected folder or exported to Drive or another destination are separate copies. Clearing app storage, deleting private records, or uninstalling Expense Office does not automatically remove those external copies.

Backups, recovery, and data loss

Backup import is validated before the app restores supported data, but no storage or recovery method can guarantee against loss. Device failure, accidental deletion, incomplete exports, damaged files, operating-system changes, or third-party provider problems can still make records unavailable.

Keep independent copies of important receipts and records, check exported files before relying on them, and follow any retention requirements that apply to your work. AMK cannot retrieve or restore files stored only on your device or in a destination you selected.

Android access used by the app

• Android private storage: keeps the canonical app records and project files inside the app’s sandbox.
• System folder picker: lets you choose a visible phone folder and grants access only to the location you select.
• Camera and document intents: let you capture or select receipt evidence without camera or broad-storage runtime permission.
• Android share sheet: lets you deliberately send a prepared project ZIP to Drive or another destination.

The packaged release requests no Internet, location, contacts, microphone, notification, account, camera, or broad-storage permission.

External donation website

Expense Office is free and donations unlock no features, content, or services. If you confirm the optional Donate action, Android opens supportamk.com in your browser. The browser, website, and any payment service operate separately under their own privacy practices. Expense Office does not receive or store payment details.

Workplace use and children

Expense Office is an independent workplace expense tool and is not affiliated with a company entered in the profile. It is not directed to children. An employer or account owner should decide what information may be entered, retained, or shared on a managed device.
