PhysioKeep Privacy Policy

PhysioKeep is published by AMK as a local-first Windows application for physiotherapy patient records, clinical history, billing, and clinic communication. PhysioKeep does not operate a patient-data cloud service.

Information processed

Clinic staff may enter clinic identity and contact information, receipt branding, patient identity and contact information, WhatsApp consent, demographic and referral details, emergency contacts, clinical history answers, pain scores, marked body-map coordinates and notes, findings, diagnosis or impression, treatment plans, home programs, receipt line items, payment status, and payment notes.

PhysioKeep may also process clinic logo and authorized-signature images selected by the user, plus generated receipt and diagnosis report PDFs.

Local storage

The primary JSON backup and per-patient Excel workbooks are stored under Documents\PhysioKeep Records for the current Windows user. Generated receipts and diagnosis reports are stored in PhysioKeep folders under Downloads. Desktop application data and the persistent WhatsApp Web session are stored under the current user’s application-data folder.

These JSON, Excel, image, and PDF files are not encrypted by PhysioKeep. Anyone with access to the Windows account or its files may be able to read them. Clinics should use a Windows password, restricted user access, full-disk encryption, and an independent backup appropriate for sensitive health records.

Internet and WhatsApp

Core patient records, billing, Excel workbooks, and local PDF creation do not require an internet connection. The installed app loads WhatsApp Web in a restricted persistent view to show its connection status and provide optional communication features.

A message or PDF is transmitted to WhatsApp and Meta only after clinic staff choose the in-app Send action. PhysioKeep may complete that requested send in the background and then show whether it succeeded. WhatsApp accounts, messages, recipients, retention, and delivery are governed by WhatsApp and Meta, not AMK.

Accounts, advertising, and measurement

PhysioKeep has no PhysioKeep account system. A clinic may optionally link an ordinary WhatsApp or WhatsApp Business account through WhatsApp Web. No advertising, in-app analytics, telemetry, or tracking code was found in version 1.2.1.

The Support AMK website has a separate website privacy policy. Its visit measurement does not become part of the PhysioKeep desktop application merely because a user downloads the installer.

The optional Donate action opens supportamk.com in the default browser using a fixed address. PhysioKeep does not include clinic, patient, billing, or payment information in that address, and donations do not unlock application features.

Deletion and retention

Clinic staff can delete a patient, an individual assessment, or an individual billing record. PhysioKeep updates its managed JSON and Excel records and removes the corresponding managed PDFs where applicable. Deletion cannot retract a WhatsApp message or remove a file that was manually copied, backed up, or shared elsewhere.

Uninstalling PhysioKeep does not automatically remove records under Documents or Downloads and may leave application data or the WhatsApp session under the Windows user’s application-data folder. The clinic controls its retention and deletion schedule.

Clinic responsibilities

The clinic or practitioner using PhysioKeep is responsible for obtaining appropriate patient consent, limiting access, choosing lawful retention periods, maintaining backups, and meeting the professional, privacy, and health-record requirements that apply in its jurisdiction. PhysioKeep is a record-keeping tool and is not a certified electronic health record or medical device.
